Poster Guidelines

Registration

All presenting authors (oral and poster) will be required to register for the Meeting in order to ensure their abstract(s) is included in the final program. Meeting registrations are available now. Register Here.

In order to ensure your abstract is included in the program, the presenting author needs to have registered by 29 August 2025. Otherwise, your presentation may be removed from the program.

If you decide to withdraw your abstract, please advise us via email as soon as possible so that the program can be adjusted accordingly.

Poster Set up and Display in the Exhibition Hall

  • Posters will be on display in the Exhibition Hall from 1200hrs, Sunday 26 October to 1030hrs, Wednesday 29 October.
  • You are required to hang your poster between 0800 and 1200 on Sunday 26 October. You will be provided your poster board number 2 weeks before the Meeting. You do not need to print your poster number on your poster.
  • There is a dedicated poster session on Monday 27 October from 1800 - 1900hrs and all authors are encouraged to be at their poster during this time.
  • All authors are responsible for removing their posters from the poster hall. Please do not remove your posters until at least 1630hrs on Tuesday 28 October. All posters must be removed by 1100hrs Wednesday 29 October, all uncollected posters will be destroyed.

Poster Size - A0

  • Each poster is limited in size to A0 (841mm wide x 1189mm high). Portrait orientation is required. Nothing larger can be accommodated. Failure to adhere to this size may result in your poster being removed from display.
  • Poster boards will be Velcro compatible.

Guidelines for Poster Presentation

The poster should be self-explanatory, so that you are free to supplement and discuss particular points raised by viewers.  Remember that your material/illustrations will be viewed from distances of one metre or more.  Lettering should be as large as possible and preferably in bold type.

  • INITIAL SKETCH. Plan your poster early. Focus your attention on a few key points. Try various styles of data presentation to achieve clarity and simplicity. Does the use of colour help? What needs to be expressed in words?
  • ROUGH LAYOUT. Enlarge your best initial sketch, keeping the dimensions in proportion to the final poster. Ideally, the rough layout should be full size. Draw rough graphs and tables. This will give you an idea of proportions and balance.
  • BALANCE. The figures and tables ought to cover slightly more than 50% of the poster area. If you have only a few illustrations, make them large. Do not omit text, but keep it brief. The poster should be understandable without oral explanation.
  • TYPOGRAPHY. Avoid abbreviations, acronyms and jargon. Use a consistent type-style throughout. Use large type, for example HELVETICA. A 22mm x 30mm sheet photo statically enlarged 50% makes text readable from 1.5 metres.
  • MOVEMENT. The movement (pathway) of the eye over the poster ought to be natural (down columns and along rows). Size attracts attention. Arrows, hands, numbers and symbols can clarify sequence.
  • SIMPLICITY. Do not overload the poster. More material may mean less communication. Ask yourself, what do I want the viewer to remember?
  • FINAL LAYOUT. The artwork is complete. The text and tables are typed but not necessarily enlarged to full size. Now ask - "Is the message clear? Do the important points stand out? Is there a balance between words and illustrations? Is the pathway through the poster clear?"

PDF Posters for the online the Meeting App

We encourage all poster presenters to upload the final version of their poster as a PDF for inclusion in the app.

  • To be included in the app, your PDF poster must be uploaded via the online poster portal by 17 October. A personalised link to upload your poster will be provided in due time.
